TASHA Meeting Minutes – November 5, 2006

Notes: The meeting started at 4:25pm.
Each board member present gave an update:
Sponsorships – Julie did not have an exact count but expects around $1200-1400. We may have about $1000 in corporate sponsorships. We need $3000. When writing checks to TASHA, it would be greatly appreciated if you distinguish what type of payment it is by filling in the Memo portion of the check with: “Sponsorship”, “Membership”, “Banquet”, etc. This helps track the finances.
Membership: 6 memberships have been received so far (besides the lifetime members). Trainers, please ask your clients to fill out the membership form on the web site, http://www.texasasha.org/TashaForms.htm , and send it in. There is also a membership form being sent out in the December premium book. All exhibitors must be TASHA members.
Youth Scholarship: Cathy Coleman is a new board member and chairperson for the youth scholarship. She will be developing several options for new requirements to be decided on at a later date.
Premium Book – It was mailed out the week of November 6. The suggested hotels are Marriot Springhill Suites ( http://marriott.com/property/propertypage/HOUKF ) and The Drury Inn ( http://www.druryhotels.com/properties/houstonwest.cfm ). There is a misprint in the Premium book on the location and time for the Awards Banquet. The Banquet will be held at Los Cucos Mexican Café (16216 Clay Road) at 7:30pm. There are several inserts including TASHA membership, Awards Banquet invitation, an entry form, and a flyer advertising the center ring trees and poinsettias for sale.
Food Coordination: Johnny Carino’s will be used again for the TASHA luncheon, which will be free to the public. It has been budgeted for 250 people at $2500. There will be a “TASHA Tips” container added near the food line.
The TASHA Awards Banquet will be held at Los Cucos Mexican Café (16216 Clay Road) at 7:30pm. They need a $200 deposit.Hospitality Room: The new arena was scoped out, and a good location was identified for the Hospitality Room.
Publicist / Media Coordination: Two press releases have been created, sent out for publication, and posted on the home page of the web site. One is geared toward horse publications, and the other is for the general public. Please feel free to distribute this press release as you see fit. It is located as a button at http://www.texasasha.org/TashaMain.htm . The Katy Times has already published the release.
Vendor Coordination: There have been leads, but no vendor contracts are in hand yet. If you are interested in having a booth or know someone that is, please send in the vendor contract, located at http://www.texasasha.org/TashaForms.htm .
Welcome Baskets: Chris is working on these and has managed to get most of it donated.
Champion and Saddle & Bridle Awards: The awards have been ordered for the December show.
Volunteers: Bettie Morey has been making calls. Melissa, the announcer, would prefer Marcie Fessler as ringmaster, and Alonna Cole for paddock master if these positions have not been filled. May has some volunteers – Viktoria and May to get together off-line to discuss.
Ribbons: Ribbons have been ordered for the December show, and should arrive the week of Thanksgiving
Center Ring: Poinsettias and Christmas trees will be sold. The trees will be in their own stands. Please consider purchasing for your enjoyment after the show at home.
Judge Host: The judge will be renting his own car, so will not need to be picked up from the airport.
The South African Equestrian Team will be
competing against an US Southwest Circuit team at the December show. May
Klein and Sandy Currier have been working out the details.
The planned itinerary for the team is as follows:
Tuesday, Nov. 28 – arrive in Houston
Wednesday, Nov. 29 – San Antonio area – Visit the Alamo, Riverwalk, and
other San Antonio attractions. Spending the night at the Menger Hotel.
Thursday, Nov. 30 – Spend the night in the Round Top area, hosted by
Chardonnay Farms. There will be a chuckwagon brought in for dinner
entertainment, including music. The team may have a chance to ride cutting
horses also.
Friday, Dec. 1 - Visit the Museum District and the Galleria for shopping;
Practice ride at GSWEC. Lunch has been sponsored by Kitty McMichael.
Saturday, Dec 2 – Compete at TASHA; Attend TASHA luncheon and Awards Banquet
Sunday, Dec 3 – Compete at TASHA; Award Presentations. Winning Ways is
sponsoring Sunday Lunch.
Monday, Dec. 4 – Depart Houston
Sponsorships are still needed for a 15 passenger van for transportation,
lunch and dinner in San Antonio, assisting Chardonnay with Thursday
activities, and Sunday dinner. If you are interested, please contact Sandy
Currier or May Klein.
Ada Perwein provided a list of past Perpetual Trophies winners. If you need this list, please contact Koren at klmercer@att.net . If you plan to maintain a Perpetual trophy, please bring the trophy before the associated class, and label it so that the presenters know to use it in the first place picture.
February TASHA Show:
Koren read all the options received from board members. The two most viable
options are to either join with the Arabians or Walking Horses.
Melissa Cole represented LSGPHA , Pleasure Walking Horses, and made a
proposal for joining up with TASHA. They would split the common costs and
profits (by the % of classes) and provide volunteers. They would like to add
between 45-60 classes and 60-80 horses. They could do a day membership or
provide their own insurance.
It was mentioned that the Walking Performance horses might be interested.
Regine Henderson or Judy Peters are contacts for this club.
We could join the January Jubilee Arabian show (in 2008), the last weekend
in January. Susie Blackwell would be running the show, and there would need
to be a TASHA liaison. It would be a rated show, following USEF rules.
The decision was put on hold until more detailed proposals could be
developed to present for vote.

Notes: The meeting started at 4:30pm.
Jean discussed TASHA by-laws concerning the Board of Directors. There are 4 levels of membership – the elected officers, local area trainers, the elected board, and lifetime board members. TASHA currently does not have two representatives from the following local barns for the elected board – Miracle, Bluebonnet, Winning Ways, and Paul Cates. TASHA invited Paul Cates Stable to join the barns associated with TASHA. The board will be opened up to allow for these representatives to join. Equal representation across barns has been an ongoing problem, so the by-laws will be reviewed and possibly updated (by vote) after the 2006-2007 show season.

Sponsorships – Linda Landman has been making phone calls and more sponsorships are coming in. Julie did not have an exact count but expects around $800. We need $3000. It was suggested each TASHA entry receive a free t-shirt listing sponsors that contributed above a certain amount, depending on received donations. Corporate sponsorships are also being solicited.
Membership: Most of the memberships will happen at the show itself. Trainers, please ask your clients to fill out the membership form on the web site, http://www.texasasha.org/TashaForms.htm , and send it in. All exhibitors must be TASHA members.
Youth Scholarship: Katie Kirkland won the scholarship for the 2005-2006 season. There were several ideas of adding more requirements to the scholarship, such as volunteer hours and essays. Currently the scholarship is strictly based on points.
Youth Activities: Santa is a planned activity. May Klein has some volunteers that can help man the craft table. Need to make sure the craft table is in a good location, away from horses. Let Christy know of any good ideas for the kid’s craft.
Premium Book – Pam needs to receive all information for the December premium book by Saturday, October 21th, to get printed on time. Ads need to be sent in to Pam Hester ASAP. You can add a class if you sponsor it and have 3 entries. May Klein is sponsoring a walk/trot lead line class for kids. She already has the entries. There is interest in an Academy driving class – one more entry is needed. Bill Marple is sponsoring a fast racking class, and the South African US competition classes need to be added.
The Marriot used last year will again be the host hotel with suites easily sleeping 4 available for $94. 20 rooms will be held until one week before the show, then it will drop to 10. If you have a pet, you must call the Marriot to give them a head’s up. The Holiday Inn Crowne Plaza may be another choice. The South African Equestrian team will be staying at the Holiday Inn.
Food Coordination: Johnny Carino’s will be used again for the TASHA luncheon, which will be free. Need to plan for more people, probably between 250 – 300. 50 box lunches are to be made for delivery to the hospitality room for trainers and grooms.
Hospitality Room: Will need to find new location at new arena. May need to purchase a tent if a room is not available
Publicist / Media Coordination: Corrine is in the process of updating last year’s press release to include the new dates and information about the South African Equestrian team. May Klein talked with the publication, Texas Horse Talk, and an article about Saddlebreds should appear in an upcoming issue.
Vendor Coordination: Pam Patterson has not been able to get a list of vendors that were at the last show. If you know them or are interested in a booth for yourself, please contact her. Koren mentioned Donna Murray (Murray’s Monograms) as a past vendor, and will contact her directly.
Welcome Baskets: Sandy Reed volunteered Chris Hallman to take over this position from Jean Huffstickler
Champion Awards: The awards for driving qualifying classes are silver trays, for riding qualifying classes – Back number pins, for kid’s championship classes – trophies, for adult championship classes – Cathy Wright pottery
Volunteers: Bettie Morey is helping Viktoria Hanson with volunteer coordination. Volunteers should only cover one session; there are two sessions each day. They need to be at the show an hour before the start time, and should dress appropriately (no jeans, please). A suggestion to order and wear TASHA volunteer buttons was made.
Ribbons: We may want to get neck ribbons for championship classes. The budget is $1500 for both ribbons and awards. After class list is finalized, Nancy will need to check current ribbon inventory against budget to see what can be done. Back numbers are to be sent directly to Janie. There will be a box for recycling ribbons.
Center Ring: Poinsettias and Christmas trees will be sold again. If all can be sold, it would pay for the cost of the center ring decorations.
* The South African Equestrian Team will be competing against an US Southwest Circuit team at the December show. May Klein and Sandy Currier have been working out the details. There are 17 competitors and 1 judge from South Africa coming to Houston. There is a 3 gaited and a 5 gaited team. The US team captains are Barbie Smith and Randy Cates, respectively. Each division needs 11 horses. If you have a horse you would like to compete, please call Sandy Currier or May Klein.
The divisions are graded as a team, not individuals.
So either the US or South Africa will win the two divisions. TASHA will supply
the stalls. The show will need to start an hour earlier, 9am, to allow for the 4
added classes or 1 hour each.

Sandy Reed offered to have them over for dinner at Chardonnay, and have the
adults stay in their guest houses, and the kid’s stay in the nearby UT Winedale
Historical Center dormitory, if it worked out. Robin Levins offered to travel
along to take pictures.
We still need to find a good place to host the South African team and TASHA high
point winners for dinner Saturday night. Sandy C. offered Elly’s help to scope
out some locations.
Perpetual Trophies were distributed back to owners or those that knew the owners. If you picked up a trophy and plan to maintain it and transport it to future shows, please let Pam Hester know so that we can add the description back to the class list in the Premium Book. Those trophies without owners will be “retired” to the next winner.
The Academy divisions have been redesigned to remove ages from the juvenile classes. Instead they are classified at levels – advanced (won 6 or more blues and have shown for 2 years or more in walk/trot/ canter), limit (won less than 6 blues in walk/trot/canter) , maiden (never won a blue in walk/trot/canter. More details can be found in the attachment. Adult Academy classes remain the same.
The February TASHA show has normally been a money loser for TASHA. It has also been extremely stressful for the few volunteers that prepare for this horse show after the December show and Christmas. There has been a continuous problem of lack of volunteers for this show. Because of these reasons, there has been a proposal to consider different options for this show. Each board member is to send in his/her 3 options to the President, Koren Mercer. The 3 most popular and viable options will then be sent out to all TASHA members for a vote.

· The following rules were published by ASHA for Chapter 6 / 7:
THE LESSON HORSE
1) Open only to horses or ponies used in a lesson program
2) Horses may cross enter in performance classes at the same show
3) ACADEMY SHOWMANSHIP or PERFORMANCE - classes should be judged on rider's horsemanship and the overall picture of the rider and horse
4) English Tack is to be used, unless otherwise specified. Full, snaffle or Pelham bridles may be used
5) ACADEMY EQUITATION - classes should be judged on BASIC Equitation skills
THE ACADEMY RIDER
1) Open to students enrolled in a lesson program
2) An Academy Rider may cross enter in another division, but not at the same show, with the exception of driving classes
3) Headers are allowed in all Academy classes if needed for safety
4) Once a rider has shown in a canter class - of any breed - they may not return to the Walk/Trot Division
5) Acceptable Attire - dark slacks or jods - boots or footwear with heels - collared shirt with vest or sweater - man's tie
a. Derbies or other traditional headgear is optional
b. No Riding suits or day coats are allowed
c. Neatness of attire and cleanliness of tack will be judged
6) Age of entries are determined by the age as of Dec 1 of the previous year - USEF Rules
7) Braiding and Hoof blackening is optional
· TASHA academy riders may wear colored shirts.
· The Saddlebred Rescue is being considered as a charity for TASHA
· The Mansion arena of GSWEC has been sold. A new facility with 150 stalls and an arena similar to the Mansion arena is being built and is scheduled to be available by October 2006. It is located between the Mansion and Main arenas.
· There was a discussion about how to handle perpetual trophies. The current idea is that they will be distributed to the original sponsors; unidentified trophies will be retired; then it will be up to the sponsors to maintain (clean and engrave) and bring the trophies to each show.
· If you would like to add a class to a TASHA show, three entries and sponsorship money is all that is needed.
· Several ideas for the upcoming show season were discussed including the possibility of becoming a National Championship show, Saturday night events, stallion/weanling/horses for sale auction, silent auction, raffle, jackpot classes, and adding another requirement for the TASHA scholarship, such as volunteer hours.
Motions Passed:
· TASHA will increase the youth scholarship to $1000. If any other money is contributed, it will be used for a second place scholarship.
Action Items:
· Koren and Laurie will review Perpetual trophies, and contact sponsors.
